Privacy Policy

Your privacy is important to us. This policy explains what personal information SwimClips, Inc. (“SwimClips”, “we”, “us”) collects, how we use it, and the choices you have. It applies to our website, swimclips.com, the SwimClips apps, SwimClips Coach, the SwimClips Store, and the other services we provide (together, the “Services”). It should be read together with our Terms of Service.

Information we collect

Information you give us

  • Account details: name, email address, password, and, if you choose, a phone number.

  • Swimmer details: the swimmer’s name, team and Swimmer ID, for accounts connected to a swimmer.

  • Purchase details: what you bought and your billing information. Card payments are handled by our payment processor; we don’t store full card numbers.

  • Messages and forms: anything you send us through the contact, demo or support forms, by email, or by text.

Information collected through the Services

  • Video: race and practice video recorded by SwimClips systems at meets and practices, and the results data (such as names, events and times) used to label it.

  • Coach content: video, drawings, voice-overs and notes that coaches create and share through SwimClips Coach.

  • Usage and device data: pages visited, features used, browser and device type, IP address, and similar technical information, collected through log files, cookies and analytics tools.

Information from others

We may receive information from coaches, teams, meet hosts and organizers (for example, rosters, heat sheets and results) so we can produce and deliver video.

How we use it

  • To provide the Services: record, produce, label and deliver video, run accounts, and process purchases.

  • To communicate with you: order confirmations, support, account and service messages, and, if you opt in, product updates.

  • To improve the Services: understand how they’re used and fix problems.

  • For safety, security and fraud prevention, and to comply with the law and enforce our Terms.

We do not sell your personal information.

Service providers we use

We share information with companies that help us run SwimClips, only as needed for them to do that work for us and under agreements that require them to protect it. These include providers of:

  • Cloud hosting and video storage

  • Payment processing

  • Customer records, website forms and email

  • Text messaging

  • Website hosting and analytics

  • Customer support tools

We may also share information with your coach, team or meet host as part of delivering the Services; with courts, regulators or law enforcement where required by law; and with a buyer or successor if SwimClips is involved in a merger or sale.

Swimmers under 18

SwimClips records competitive and practice swimming, so our video often includes minors. Accounts for swimmers under the age of majority are created and managed by a parent or guardian, and coaches and teams share video with swimmers under their own programs’ policies. We do not knowingly collect personal information directly from children under 13 without a parent or guardian’s consent. If you believe a child has given us personal information without that consent, contact us and we will delete it.

Cookies

We use cookies and similar technologies to keep the site working, remember your preferences, and understand how the site is used. You can block or delete cookies in your browser settings; some features may not work without them.

How long we keep it

We keep personal information only for as long as we need it for the purposes above, or as required for legal, accounting or reporting obligations. Race and practice video is kept so swimmers, families and coaches can access it; you can ask us to remove video of you or your child (see below).

Security

We protect personal information with commercially reasonable safeguards. No method of transmission or storage is 100% secure, so we can’t guarantee absolute security. You’re responsible for keeping your password safe.

Your choices and rights

  • You can access, update or correct your account information, or ask us for a copy of what we hold about you.

  • You can ask us to delete your data. See Data Deletion.

  • You can unsubscribe from marketing emails at any time using the link in the email, and reply STOP to opt out of texts.

  • California residents and residents of other states with privacy laws may have additional rights, such as knowing what we collect and asking us to delete it. We honor these requests and won’t discriminate against you for making them.

Links to other sites

The Services may link to sites we don’t operate. We’re not responsible for their content or privacy practices.

Changes to this policy

We may update this policy from time to time. We’ll post the new version here with an updated date, and where the law requires, we’ll let you know or ask for your consent.
